An AI prompt for sales follow-up emails that sound like you
The best way to use AI for sales follow-ups is to give it your call notes, ask for a short recap with clear next steps, and edit the draft before you send it yourself. Done well, a follow-up that took 15 minutes takes three.
Why follow-ups slip
Follow-ups slip because they come at the worst time: straight after a call, when the next meeting is already starting. A day later the details are fuzzy and the email gets shorter and vaguer. AI fixes the slow part, the first draft, while the call is still fresh.
What a good follow-up contains
- A one-line thank you, without filler
- What you heard: their situation and goals, in their words
- What was agreed, with who does what by when
- The single next step
- Nothing else
The prompt
Write rough notes during or right after the call. Bullet points are fine. Then use this:
Write a follow-up email to [name, role] at [company] after our call today. My notes from the call: [paste rough notes] Rules: - Under 150 words. - Start with one short line of thanks, then go straight to the content. - Summarise what they told us in their own words, not ours. - List what we agreed as: who does what, by when. - End with one clear next step and a proposed date. - Write the way I write: [paste one or two emails you've sent before, or describe your tone]. - If my notes don't say who owns a next step, ask me instead of guessing.
Make it sound like you
AI drafts sound generic when the AI has never seen how you write. The quickest fix is to paste one or two of your own emails into the prompt as examples. Better still, save a description of your writing style once so you don't have to repeat it. We show how in making AI write like you.
Before you send: a 30-second check
- Names, dates, numbers: are they right?
- Commitments: did the AI add a promise you didn't make?
- Tone: would the customer believe you wrote it?
- Length: can you cut a sentence?
Never let AI send follow-ups automatically. Read every draft. The few seconds it takes are what keeps the email credible.
Variations worth saving
[Name] at [company] hasn't replied since [date]. Our last exchange was about [topic]. Write a short, friendly check-in (under 80 words) that adds one useful thing, such as a relevant point, a question or a resource, rather than just "checking in". No pressure, no guilt.
Turn these call notes into a 5-line internal update for my team: the customer, what changed, the next step with owner and date, and any help I need. [paste notes]
