How to use ChatGPT for sales meeting prep
You can use ChatGPT to prepare for a sales meeting in about five minutes: give it what you know about the account, ask for a one-page brief in a fixed format, and check the facts before you walk in. The same method works in Copilot, Claude and Gemini.
What a good meeting brief contains
A useful brief is short enough to read in the two minutes before a call. Ask for exactly this:
- Who is in the room and what each person probably cares about
- Where the deal stands: stage, value, last contact, open questions
- What happened last time: promises made on both sides
- Three questions worth asking in this meeting
- One risk to be ready for
Step 1: Give it the context
AI can only prepare with what it can see. Before you ask, collect:
- The meeting invite (who, when, agenda)
- The last few emails with the customer
- Your CRM notes or a short summary of the deal
- Anything public you already know about the company
If your AI tool is connected to your email and calendar, it can find these itself. If not, paste them in. Remove anything your company's AI policy says must not be shared.
Step 2: Use a fixed prompt
The same prompt every time gives you the same format every time, which makes the brief fast to read.
I'm meeting [company] about [topic] on [date]. Attendees: [names and roles]. Here is what I have: [paste invite, recent emails and deal notes]. Write a one-page brief with these headings: 1. Who is in the room and what each person likely cares about 2. Where the deal stands (stage, value, last contact, open questions) 3. What was promised last time, by us and by them 4. Three questions I should ask in this meeting 5. One risk I should be ready for Use only the information above. If something is missing or unclear, say so instead of guessing.
The last line matters. It stops the AI from filling gaps with confident-sounding guesses.
Step 3: Check before you trust it
Read the brief once with one question in mind: is any of this not true? AI can mix up names, dates and numbers, especially from long email threads. Fix anything wrong. It takes a minute and keeps you from repeating a mistake to the customer.
Step 4: Use the questions
The three questions are often the most valuable part. Pick one to open with. Good meetings are about the customer's situation, and good questions get you there faster.
Make it a habit
The real gain comes when prep happens for every meeting, not just the big ones. Two ways to get there:
- Morning batch: each morning, ask for briefs for every customer meeting on today's calendar.
- Day-before routine: at the end of each day, prepare tomorrow's meetings.
If your AI tool can see your calendar, add this to your morning routine: "Find my customer meetings today and prepare a brief for each one, using the format above."
Common mistakes
- Asking too vaguely. "Help me prepare for my meeting" gets a generic checklist. Give it the account and the format.
- Skipping the check. A brief with a wrong number is worse than no brief.
- Too long. If you can't read it in two minutes, ask for half the length.
